BI4Cloud + XERO = Advanced Sales Analysis

BI4Cloud Business Intelligence makes it easy to understand your Sales history and then investigate what has caused any issues:  

  1. Know your Customer Card List  
  2. Sales by Customer, and  Location
  3. Sales by Tracking Codes, e.g. Salesperson or Region
  4. Sales - who has stopped buying 
  5. Sales over time - by day, week, month, quarter and year 

1. Welcome new Customers, Reward Loyalty 

Run the Customer Card List report for a quick and simple tool to identify all:

  • New Customers last month/week to send a Customer satisfaction survey
  • Customers who have not been active for X days or years to offer a loyalty bonus
  • Customers who’s last Sales date was in a given date range (Stopped buying)
  • Customers by Distribution channel or Type to send a targeted campaign
  • Customers by State, Postcode or Country

2. Sales by Customer and Location

 Focus on Sales by who you are selling to and where they are located.

  • Who are your Top Customers by Sales revenue?
  • Do you have different Sales expectations for different distribution channels or buying Groups?
  • Can you justify opening a new branch or hiring a new salesrep for a given location?

Run the report Sales - Monthly by Customer

  • Sort your Customers by Total Sales or by one month by Clicking on the Column header
  • Choose Top 10 or Top 100 to focus on
  • Drill-down on a Customer to see what Items they have bought by Clicking on the Customer


Focus on Customer Location

  • Group your Customers by their Address e.g. State, City or Postcode


  • Analyse your Customers at a summary level by their Address e.g. State, City or Postcode


3. Sales by Tracking Codes - e.g. Salesperson 

 Focus on Sales by who is selling - Salesperson

  • Do you use Tracking Codes to allocate a Salesperson on each Sales Invoice?
  • Do you use Tracking Codes to allocate each Customer to a Default Salesperson?

To Create Sales by Salesperson (Tracking Code) Report - Run the report Sales - Margin by Customer

  • Change Analyse by to Salesperson for the Salesperson on each Invoice or
  • Change Analyse by to Salesperson - Customer for the Default Salesperson on the Customer contact
  • Change the Sales Date Range to see a different Period e.g. This month or Last Month


  • Hide Columns (+/- Columns) to see just the columns you need
  • To understand Average Cost & COGS data in XERO Click Here


  • Filter by Salesperson (Tracking code) for the Salesperson on each Invoice
  • Filter by Salesperson - Customer (Tracking Code) for the Default Salesperson on the Customer Contact card
  • Click Done


  • While filtered for one Salesperson (Tracking Code)
  • To show more detail - Analyse by Invoice Detail (or Analyse by Item)
  • Group by Customer


Pivot by Tracking codes

Run the report Sales - Monthly by Customer

  • Analyse by Items to see Items as Rows
  • Pivot by Tracking Code e.g. Region or Salesperson to see where each Item was sold



4. Sales - Which Customers have Stopped Buying?

 Focus on Sales by who has stopped buying or is buying less. 

Run the  Report - Compare Sales by Customer

  • Sort by the Variance Column 
  • Sort by the Customer Last Sales Date
  • Click Compare to Change the Date Ranges used or add another date pair e.g. This Mth to date v MTD Last Month
  • Click on a Customer to Drill down to compare the Items they bought


5. Sales over Time - by Day, by Week by Month, by Quarter

 Focus on Sales over time to identify trends

  • Are your sales changing over time?
  • Do you have different sales based on seasonal fluctuations?

To Create a Pivot Report showing Sales  by Item by Quarter Report 
- Run the Pivot report Sales - Monthly Sales by Customer

  • Change Analyse by to Item (or Salesperson) to see as Rows
  • Change the Then by to Sales by Quarter (or Year) to see as Columns
  • Change the Display from Total Sales to All (V) (Display all Dimensions as a Vertical Pivot to easily compare month to month or Quarter to Quarter across the page)
  • Hide some Dimensions to simplify the report use the +/- Columns option
