User Actions for MFA Setup

These are the steps to setup your Multi-factor Authentication MFA 

You need an authenticator app and we have documented two

  1. Google Authenticator

  2. 1Password - password manager with in-built MFA support

Login Flow (First Time):

When MFA is enabled (or reset) and the user logs in, after they enter in their user name & password they will then be presented with a page to scan the QR code and verify that the code is as expected:

Once they use their authenticator app to scan the code, they will enter in the code (as per other sites). Note 1Password can scan for QR codes on the desktop so this is what I have used here:

 

Google Authenticator

To scan the code into Google Authenticator, please follow the steps below:

  1. Open the Google Authenticator application on your smart device :
  2. Click on [Add Code]  in the window to start the QR code scanning process:
  3. Select option to Scan a QR code from the options
  4. Scan the QR code displayed on the screen after you log into BI4Cloud. If successful, it will display a code which must be entered into the browser to authorise the device to the authentication provider: 

Note: There is a limited time between scanning the QR code and entering the displayed one-time code. If it is nearing to expire, please wait until the code has refreshed on your device before entering the new code. 

  1. Click [Continue]
  2. You will then be presented with a recovery code which can be used to log into BI4Cloud if you do not have your smart device on you. Please keep this code in a safe place as it is not recorded by BI4Cloud
    Note: The recovery code shown is an example only.
  3. Once you have copied the code (and recorded it in a safe place), check the checkbox indicating that the code has been recorded then click [Continue] to log into BI4Cloud .

1Password (Mac/Windows)

When properly installed and integrated with browser plug-in 1Password allows you to select the Login and it will fill in the login id, password and also the MFA code. 

To scan the code into 1Password please follow the steps below:

Tip: Already have an entry in 1Password for logging into BI4Cloud ? Edit your existing item in 1Password and follow the instructions from step 5 below.

  1. Open the 1Password application on your Mac or Windows
  2. Click [New Item] to add a new item (Login):

  3. Choose [Login] from the displayed list of available items:

  4. Enter in the following information into the fields provided:

    Field Description Example
    Item Name Name of item within 1Password BI4Cloud
    username Your user name (email address) you use to login to BI4Cloud johnson@bills.com
    password The password you use to login to BI4Cloud  
    website The URL used to access BI4Cloud https://my.bi4cloud.com/

  5. Click on 1Password_AddMFA.png and select One-Time Password from the dropdown list items:

  6. Go to the Bi4Cloud Display screen and select and copy the QR code

  7. Go back to 1Password and click on 1Password_ScanQR.png  and you should see "One-time password pasted from clipboard"

  8. Then press [Save] and the One Time Password OTP will display and change every 30 secsScreenshot 2026-02-26 at 9.29.17 am.png
  9. Return to the BI4Cloud screen, key the OTP into "Enter you one-time code" and press Continue

  1. The Bi4Cloud screen will now display your Recovery Code. We will save this in 1Password. Select Copy Code

  2. Go back to 1Password and select the Bi4Cloud login your created and press edit

  1. Select Add Item and then Password

  1. Paste the Recovery code into the form, shown here as <copied recovery code>

  1. now we'll chnage the name of the label,  click of the word password 

  2. and edit it to call it Recovery password 

  1. Then press Save

  1. The recovery code is save in a safe place and now you're complete setup

  2. Finally  go back to the Bi4Cloud screen and tick "I have safely recorded this code" and press [Continue]

     

Troubleshooting

If you are finding that when logging into BI4Cloud that it is frequently not accepting the MFA code generated by your device, please ensure that the time is correct on both your smart device and your computer. MFA code generation relies on all devices having the same time to ensure that the generated code on the device is the expected result within BI4Cloud.
