Change Fields - Add, Hide and Show Columns

Our default [Base] reports show the fields and columns we think most people will want to see.

You can easily change these fields, hide unwanted fields or add-in almost any other field you like then save your new report.

Let's look at making changes to the default Customer report in the Analyse Sales & Margins Workbook.

Edit to Access the Report Designer (Edit Mode Only)

The ability to change fields is only available when in Edit Mode, not in View Mode.

Click the Edit button to open the Report Designer.

Change the Order of Fields

Simply drag and drop fields to change the order they appear.

Remove Fields

  •  Hover over any field and click the X to remove a field e.g. remove Average Cost and COGS fields.
  • See below the option to Hide Fields instead

Add New Fields

  • Choose new Mapping Fields to add to the report
  • Fields are grouped together under headings e.g Metrics (these are the Numbers), Customer, Item, Invoice Date etc

  • Search for fields by name e.g. Search for State
  • Select State (under the  Customer heading) click > to add this new field and drag it into position

  • State field now appears next to each Customer name

  • Continue adding fields as needed.
  • To add the State field as a Subtotal instead of showing it on the same row as each Customer use the Group by function. See Subtotals (Group By)

Add New Metrics Fields

  • The Metrics fields are the numbers being reported e.g. Qty, $Sales, Ave Price etc.
  • Metrics appear as the first ones listed under Mapping Fields.
  • Metrics dimensions appear with a grey icon next to the Field name.
  • Look through the extensive list of Metrics available to choose to add to your reports

Change Field Names

  • Click on the "..." to open field settings then change the name to display on this field

Hide Fields

  • Click on the "..." to open field settings then mark the field Not Visible.
  • Temporarily hide a field so you can bring it back later or to use in a calculation
  • Non Visible fields appear as greyed out

Add Calculations using Expressions

Add your own calculations using Expressions. To add a 3% Commission calculation:

  • Click on the E+

  • Name the Expression Commission
  • Select a Metrics field to us in the calculation e.g. Total Sales
  • Add a formula e.g. * .03 (3%)
  • This adds a new Commission column to the report
  • Only Metrics fields can be used in Expressions 
  • Multiple Metrics fields can be  used e.g. to add different fields together or divide by

Remember to Save any changes.
