Bring your data alive and help users to better understand information and identify issues at a glance. Using icons, arrows, colours and indicators on each row will really focus their attention on low margins, budget variances etc.

This article covers:

1. Set Thresholds

Display numbers below a Set Threshold in Red or any colour.

  • Be in Edit Mode
  • Click Edit button to open the Report Designer
  • Click the "..." to open the settings for the field to edit
  • Set Threshold colour to Red or any other colour
  • Enter the Value - e.g. 25 will display any margin % value of 25% and below ( < or =) in Red

2. Using Pre-built Formatting Rules

Display arrows, symbols or traffic light icons (red, orange. green) based on preset number ranges to provide a quick visual cue of performance and highlight warnings.

  • Be in Edit Mode
  • Click Edit button to open the Report Designer
  • Click the "..." to open the settings for the field to edit
  • Select a pre-built Formatting Rule to display
  • The Margin % above is using the "BI4 Generic KPI %" rule

Pre-built Formatting Rules Available

Below are the pre-built Formatting Rules available. Depending on the use case different number ranges may be good (green) or bad (red). 

See below for instructions on how to create your own custom formatting rules.

3. Create Custom Formatting Rules

Tailor the icons, colours and number ranges to suit your own business.

Click on the Stars to access the Formatting Rules.

Below is the BI4 Generic KPI% Formatting Rule, this shows which icons are selected, icon colours and value ranges each applies to.

  • Copy to then Edit using the pencil icon; or
  • Add to start a new rule
  • Custom formatting rules will apply just to your BI4Cloud Organisation
  • Select an Icon - arrows, boxes, triangles, up, down, sideways or none
  • Select an icon colour - Red for bad Green for good etc
  • Set Minimum values for each icon/colour range.
  • Min Value   e.g.
    • -60 will display any value of -60% and below ( < or =) in red
    • 30 will display any value of 30% and below ( < or =) in light green
  • Save using the floppy disc icon
