BI4Cloud + MYOB Acumatica : Connect a Trial

BI4Cloud supports reporting on your MYOB Acumatica (formerly MYOB Advanced) or Acumatica cloud service for enterprise accounting. In this article we shall describe the process for connecting to these cloud services. 

Note: MYOB Acumatica formerly known as MYOB Advanced is rebrand of Acumatica. The same instructions for adding the BI4Cloud customisation are used for Acumatica.

Before connecting your MYOB Advanced company file to BI4Cloud, a number of configuration steps must first be followed. If these are not done, you will not be able to connect & sync data. These configuration steps are:

  • Install BI4Cloud Customisation Package into your MYOB Advanced instance
  • Validate BI4Cloud Customisation Package
  • Publish BI4Cloud Customisation Package
  • Verify Generic Inquiries installed in Customisation Package exist and function

Note: We recommend that you contact your MYOB Advanced Implementer / Business Partner to install this customisation package, to ensure that any other 3rd party customisations are not removed while installing this customisation. If they have any questions, can you / they please email support@bi4cloud.com for assistance. The customisation package is linked at the bottom of this article.   

Installation of BI4Cloud Customisation Package

Note: To install the BI4Cloud Customisation Package the user must have at minimum the Customizer Role.

To install the BI4Cloud Customisation Package, follow the steps below:

  1. Download the correct Customisation Package for the version of MYOB from the file links at the bottom this article. 
    Note: Do not unzip the file.
  2. Log into MYOB Advanced, as the user which is an Administrator / has Customizer role. On the  Left-Hand Side menu, choose option More Items:

  3. In the panel, choose Customisation:

  4. In the panel, choose option Publish Customisation:

  5. In the program, choose option Import from the ring menu:

  6. Click Choose File in the file selector, and select the correct Customisation Project for the version of MYOB Advanced:

  7. Click Upload to import the Customisation Project.

Validate BI4Cloud Customisation Package

Before publishing the customisation project, it must first be verified. If it isn't verified, or there are errors during verification, the project cannot be imported into MYOB Advanced.

To verify the Customisation Package, follow the steps below:

  1. Check the checkbox on the Customisation Project:

  2. Click on the button Validate Projects within the ring menu of the program:

  3. If validation is successful, the validation status will change to Passed.

Publish BI4Cloud Customisation Package

Note: Publishing a customisation package will log all users out of MYOB Advanced. Please verify that users have completed any transaction processing before proceeding with this step.

To publish a Customisation Package, please follow the steps below:

  1. Check the checkbox on the Customisation Project:

  2. Click the Publish button in the program's ring menu:

  3. On the screen displayed, click button Publish:

    Note: Publishing a customisation package will log all users out of MYOB Advanced. Please verify that users have completed any transaction processing before proceeding with this step.
  4. Once the Customisation Project has been published successfully, you will see the following screen:

Verify Generic Inquiries

To verify that the Customisation Project has been installed correctly, we will run a number of generic inquiries which were installed by the BI4Cloud Customisation Project. To do this, follow the steps below:

  1. Log into MYOB Advanced, and on the  Left-Hand side menu, choose option More Items:

  2. In the panel, choose Customisation:

  3. In the panel, choose option Generic Inquiry:

  4. In the Generic Inquiry program, click on the magnifying glass for the Inquiry Title and in the search box, type BI4:

  5. Select the generic inquiry BI4-CurrentUser, this is the generic inquiry used to validate that BI4Cloud can make a successful connection to MYOB Advanced:

  6. Click on button View Inquiry button in the ring menu. This will execute the generic inquiry and will return a list of data (in this case, only 1 row only):

Connect MYOB Advanced company file to BI4Cloud

After Sign Up the system will display the BI Admin Console. The actual screen will depend upon the web browser size. You can also get to this Console by logging in at my.bi4cloud.com

You can connect a company file by selecting "+ Add Company".

Before you do this you should ensure you have the following:

  • A login to my.myob.com
  • Know the URL, login & password, tenant ID (if applicable) for your MYOB Advanced installation.

Note: Depending on the size of your company file the sync can take considerable time to complete.

If that's all go then press "+ Add Company" and web page showing all the available connection types will be shown. Look for MYOB Advanced logo

Click on the MYOB logo - you will then be taken to a page to enter in your setting for your MYOB Advanced instance:

Enter in the following details:

  • Company Name: The name of your company as seen in BI4Cloud
  • URL to MYOB Advanced: The URL you use to connect to your MYOB Advanced instance. The URL usually as the format of  .myobadvanced.com (i.e. https://demo.myobadvanced.com)

  • Tenant ID: If your instance of MYOB Advanced has multiple tenants, please enter in the tenant ID. If you are not using tenants, please leave field blank.

    (In the image above, if we were connecting up this company file, the tenant ID would be Clean AU Tenant).
  • User Name: The user name used to login to your MYOB Advanced instance to sync data.
  • Password: The password for the user name above.

Upon clicking Save, BI4Cloud will try and connect to your MYOB Advanced instance, using the URL, Tenant ID, user name & password provided. If it able to connect successfully, you will get a message indicating this, and once the sync has completed successfully you will receive an email.

If BI4Cloud is unable to connect to MYOB Advanced using the details provided you will receive an error message.

NOTE on Customisation files 

The BI4Cloud2019.zip is for MYOB Advanced version 2019 / 2020, and will install on MySQL 5.6+ / MS SQL Server database environments.

BI4Cloud2021.zip is for MYOB Advanced version 2021 and above, and will install on MySQL 5.6+ / MS SQL Server database environments. There is no functionality difference between this and BICloud2023.zip, except that the customisation level flag is set to 21.

BI4Cloud2023.zip is for MYOB Advanced version 2023 and above, and will install on MySQL 5.6+ / MS SQL Server database environments. There is no functionality difference between this and BICloud2021.zip, except that the customisation level flag is set to 23.
