How To Add New BI4Cloud Users
Select User Admin to add new users and control user access.
See list of users (Active and Retired)
Add New Users
- To purchase additional user licences go to the Payment tab
- Click on Add User icon
- Fill out the user's name, department and email to use to login.

User Profile control what actions users can take in workbooks
- View Only - Can add and change filters, can't edit, save or export data to excel
- Report Visualisation, Excel - can create, edit and save also export data to excel
- Report Visualisation, Excel, Emailer - can create, edit, save, export data to excel and schedule emails
- Admin User check to set as an Admin User or uncheck to be a Non-Admin user
- Base Workbooks - check to display or uncheck to hide the Base Workbooks for this user
- Click Save and the New user will be sent an email to confirm their email and to setup their new password
Add User Restrictions
To restrict user access to only some types of Report Groups or some Company files see
Control User Access to Companies and Reports.
- Company Restrictions - select companies to restrict user access to only those companies

Reporting Groups limit what report mapping and therefore what workbooks user will see:
- Accounts - include Profit & Loss, Balance Sheet, Trial Balance
- Sales - include Analyse Sales, Sales v Inventory, Accounts Receivables Ageing
- Purchases - include Analyse Purchases, Accounts Payables Ageing
- Inventory - Stock Control, Stock Quantities and Valuations, Replenishment
- Sales Orders - includes Sales, Sales Orders, Quotes, Estimates
- Jobs - specific Job Reporting for MYOB AccountRight, ABSS Premier Jobs
- TimeSheets - specific Timesheet Reporting for MYOB AccountRight, ABSS Premier Jobs

Reporting Group Restrictions (Workbooks Only)
- Set Detailed Access Restrictions to limit access to specific Jobs, Tracking Categories, Classes etc

Curated Workbooks is an optional picklist of reports based upon what data is in the connected file. These are shown to Admin users and they in turn share with other user. Read more in Curated WorkBooks.
- These include Division Reporting, Supplier Performance, Sales v Inventory
User Types
There are two types of user accounts in BI4Cloud:
Admin Users
The first user that was created when you signed up for BI is an Admin user by default.
An Admin user can access the following areas:
- Organisation - Change Organisation details
- User Admin - Add and remove users, add user restrictions to Companies and Report Groups
- Company - Add new company files or disconnect company files
- Support - Access Support area including BI Community
- Payment - Access and change the subscription plans including payment details
- Cool Stuff - Access Cool Stuff features including Divisional Budgets, Flexi Levels & Sales Budgets
- Spark Charts - Hover on charts to see values or click to change
All Admin users are able to see the Account Administration page.
Add Users / Set User Restrictions / Grant other Users Admin User Rights
Admin users are able to:
- Add new users
- Restrict User Access to only certain Report Groups and or certain Company files
- Grant other users Admin User Rights on the User Admin tab
Standard Users - (Non-Admin user)
A Standard user is only able to Run and Save BI Reports.
A Standard user is taken directly to the BI Favourites screen on login which looks like this.
Make a user a Standard user if you plan to restrict their access to only some Companies or Report Groups.
